Welcome to our next big event – and, say - have you noticed it will be our 2012 big event?! General Information This is your introductory document to acquaint you with options for your attendance, and to provide you with preliminary information. Please do not contact the conferencecoordinator or the Academy until we have posted updated information. The primary goal of providing you with this information is to ensure you know what to do to secure the Early Bird rate. Also, to get you thinking about roommate(s) for our 2012 conference next Feburary. Included in this document
Who needs to stay on site for the entire conference? The following groups must stay on-site: Lightguards, Students (both Level VI and X) and if possible, those auditing Level VI for the first time. First-time Level VI Auditors are encouraged to stay on-site for their first audit. The steps to ensure that you get the Early Bird rate
Your (many!) options for attendance include
Gee, I wonder how many organizations offer THAT many choices for a conference! What you need to consider What currency do I pay in? Please pay both your $100 deposit, and your balance due , in the same currency. If you are thinking of staying off-site Staying off-site is an option that should be chosen as a last resort option for your attendance as it is really challenging going in and out of the construct on a daily basis. “Staying off-site” rates are defined as traveling in an out of the conference to attend the classes in person. It is important to note that staying off-site is not free for us or for you. There is a cost associated with this option in order to cover certain costs that all attendees must pay. If meals are required, they can be purchased in “day packages” when a person is staying off-site. The meal costs would be added to your off-site rates. Do we have your current contact information? For changes in emails, phone #’s, etc. please look for the Update Student Profile form in the Level VI area of the site. Deadlines - Important Ones! Following your $100 deposit paid by September 15, 2011, there are TWO final payments due January 15: One paymenbt is for the balance of your conference costs, and other one for your course tuition. Please be sure to mail your payments with enough time to ensure that you meet the Early-Bird Rate timeline. Post dated checks/cheques are welcome. Conference and tuition payments received after January 15 are subject to conversion to the Regular Rate. For example, the regular conference rate is $250 more than the Early-bird rate, so why not finalize your plans now!! If you change your mind: Deposit Refunds Until December 15, 2011: 100% refund After December 15, 2011: no $100 deposit After December 31, 2011: you forfeit your deposit AND must pay the full accommodation and food fees you reserved Please remember: In fairness to your roommate who is responsible with you for conference costs, if you cancel after the 31st of December, you are responsible for the full payment of your entire cost for the space you have reserved, even if you do not attend. Need to change your registration? If you need to change your registration, please submit a new registration. We will accept your most recent submission. If your change affects your room and roommate(s) they will also need to re-register. May we ask that you not do this too often: it’s a lot of work behind the scenes to continually update small changes. May we suggest you decide (definitively!) what you wish to do, and then register! Below, find estimates for staying on-site the entire conference. Final Costs for all the off-site options and Skype will be posted soon. Expect to pay in/around what you paid last year. We hope that there will be no increases in our conference costs and will let you know as soon as we can! Staying on site the entire conference Includes hotel and all meals and your portion of conference costs. Remember your course tuition fees are separate (listed futher in the document). These are your final conference costs due January 15. Full Attendance at Conference – assumes you paid the $100 deposit on time; otherwise add $250 to these fees.
Adjustments to the US rates may be applied at a later date if exchange rates warrant. Staying off site but attending in person Options that will be available to you: OPTION 1: Unlimited in-person attendance to the conference and unlimited Telephone/Skype attendance for when you are unable to be at the hotel in person. Meals and hotel accommodations would be available to you at an additional cost. OPTION 2: In-person attendance for 4 days or less without phone/Skype access for the balance of the conference. Meals and hotel accommodations would be available to you at an additional cost. Does NOT include auditor's tuition. OPTION 3: Staying at the hotel for a partial week You may attend the conference and stay in the hotel (on-site) for a partial week. Please keep in mind that as soon as the room has been activated we will be billed for the entire time it is in use. This means that you and your roommate need to really be clear on who will pay for what portion if the both of you are not arriving on the same date. If, for example, you are arriving later in the week than your roommate, you will need to decide together how the room costs will be allocated.
Want to purchase a Meal Package? To add any meal packages to your off-site options, you will be emailing conferencecoordinator@gmail.com with your needs, and costs will be calculated for you. Meal packages are given in full day packages only. If you decide to eat in the restaurant on site, it will be at your personal expense .Only catered dining is covered in the meals package costs. OPTION 4: Skype/Telephone Conferencing You may attend the entire or part of the conference by Skype/phone. All the options will be listed soon. When the time comes, you will be contacting conferencecoordinator@gmail.com to request any of these off site options. Tuition Info - Due January 15 Please note there will be an increase in tuition fees starting in 2012. We will post those numbers soon.
